Personal space and workspace in BrainBox: where your information lives and who sees it

The difference between your personal space and your team's workspace, how each Box decides who sees it and how to invite your team.

Lesson 6 of 21 · 2:02

What it covers

In BrainBox your information lives in two places: your personal space and your team's workspace. Here you see what's in each, how each Box decides who sees it, what the Private folder is and how to invite your team with the right role.

Frequently asked questions

›Do all workspace members see every Box?

No. Each Box has its own access management: you add the workspace members you want, with permission to view, edit or manage.

›What is the Private folder inside a Box?

Your personal space inside that Box. Only you can see the files you keep there; other members have no access.

›What roles are there in a workspace?

Viewer can see content, Editor can see and edit, and Admin can also manage members and settings. The owner is whoever created the space.

Andrés, the CFO, asks: if I upload the financial statements to BrainBox, will everyone see them? The short answer: it depends on where you upload them.

0:12Personal and workspace

In BrainBox, your information lives in two places. Your personal space is yours alone: your Boxes, your plan and your keys. And the workspace is your team's space: shared Boxes, members with roles, AI policies and one plan for everyone. You can see it in the menu. In your personal space you see your plan and your keys. Switch to Celtara, and the members, the AI policies and the team's plan appear.

0:44Who sees each Box

Now, being in the workspace doesn't mean seeing everything. Each Box decides who sees it: you add people from the team and choose whether they can view, edit or manage. Whoever isn't on the list doesn't see the Box. And inside every Box you have a Private folder: what you keep there, only you see. In the Box, the Share button opens access management. Here you choose each person's permission. And here's the Private folder, just for you.

1:18Invite the team

And how does someone get into the workspace? From Members, you invite by email and choose their role: Viewer, Editor or Admin. And if there are many, you paste any text with emails and BrainBox finds them.

1:34Recap

To recap: your personal space is yours alone, the workspace is your team's, with roles and policies, and each Box decides who sees it, with a private folder just for you. So, Andrés: your financial statements are seen by whoever you decide. Yours is yours. The team's, for whoever you decide.
